    What is the research study about?

    The research study is conducted by the Research Centre for Education and the Labour Market (ROA). ROA is an independent scientific research institute of the Maastricht University School of Business and Economics. The research is funded by The German Federal Ministry of Labour and Social Affairs (Bundesministerium für Arbeit und Soziales).

    The study explores how M365 Copilot influences everyday work. This includes work tasks, efficiency, and employee experience across different job roles in AUMOVIO.

    How will the employee survey be conducted? 

    The study consists of three short online surveys hosted on the Qualtrics platform by Maastricht University (ROA). The first survey will be conducted soon after the introduction of M365 Copilot, the second survey around 3 months later and the third survey around 6 months after introduction. 
    The questions focus on your work; your experiences and your views related to Artificial Intelligence.

    As a registered M365 Copilot rollout participant you were informed that your employee ID email address would be shared with Maastricht University (ROA). This address does not contain your name, but only your employee ID. For Maastricht University (ROA) this is a pseudonymous ID that does not link back to you as an individual. Using this pseudonymous email address, Maastricht University (ROA) has sent you this personalised link to the survey. The data manager of Maastricht University (ROA) does not receive any directly identifiable responses, but only your employee ID (not your name) and your responses to the survey. AUMOVIO will never see any individual responses to the survey.

    The data is stored in a safe and secure location on servers located at Maastricht University (ROA).

    In addition to the surveys, Maastricht University (ROA) will receive pseudonymized organisational data from AUMOVIO. This may include M365 Copilot usage metrics and/or pseudonymous job-role KPI’s. 

    Where technically and legally possible, these data may be linked to survey data using pseudonymous employee IDs. This enables the researchers to perform scientific analyses across the different data sources, without identifying individual employees.

    What are the conditions of participating?

    Participation in this study is voluntary. You may stop participating at any time without any consequences. You are free to skip any questions or refrain from providing any information you do not wish to share.

    The data collected in this study will not be used to assess your individual performance.

    Are there potential risks?

    We do not expect any physical, legal, or economic risks to arise from participation in this study.

    Will you be compensated for your participation?         

    There is no payment or compensation for taking part in this study.

    What personal data do we process as part of the research and why?

    Personal information for research purposes: 

    • Demographic characteristics: gender; age category; tenure category, country, and job category will be collected. These data are collected solely to ensure scientifically valid analysis of how the tool affects different types of roles and employees, and are analyzed only in aggregated form without identifying individuals.
    • Pseudonymous employee ID: This will be used to identify the survey responses over the three waves. Upon gathering the survey dataset, Maastricht University (ROA)’s data manager will substitute the provided employee ID with internal study identifiers so that authorized project researchers work only with pseudo-anonymous identifiers. Where legally and technically possible, a key-variable based on your pseudonymous employee ID will be used to link survey data to additional organisational data.

    Maastricht University (ROA) collects this information to investigate the research objectives. Any reporting of this data in any publications or reports cannot be traced back to individuals. Maastricht University (ROA) will achieve this by reporting on demographic groups with 5 or more observations only. 

    Storage and data retention 

    The survey research data is collected via Maastricht University (ROA)’s IT infrastructure. All data will be stored securely in Maastricht University (ROA)’s IT infrastructure in the Netherlands/EU. At Maastricht University (ROA), all survey research data and consent documentation, collected during the project will be retained for at least 10 years in agreement with Maastricht University (ROA) guidelines. In accordance with Open Science practices, the researchers at Maastricht University (ROA) will publish the gathered, pseudonymous survey data on DataverseNL if required for scientific publication or for scientific re-use.
